The following information is for applicants to understand and interpret the application process. Information included below explains the timeline for applications and defines the various stages of progress for applications. The stages of the application process correspond with the application status that is visible in your portal profile: the definitions are also explained in your portal profile under Active Applications in the Applications pane.
Application Timeline
The average timeline to process an individual application from completed to approved/declined is 12 – 16 weeks.
The College’s Application Process
The application process progresses as follows:
Application Status Definitions
The current status of your application is found in your profile in the College’s portal and corresponds with the statuses explained below. These definitions generally summarize the various stages of the application process. The Summary line in the Active Applications section of your portal profile may give more specific detail as to the status of your application.
1. Draft
Your application status will be in draft when you initiate the application process. During this stage, you will be gathering the required documentation and preparing to submit your application to the College; your application is considered incomplete. Your application status will remain in draft if:
- You have not gathered and submitted all required documentation
- You have not paid the application fee
What you need to do to progress from this stage:
- Submit all documentation
- Pay your application fee
2. Submitted
Your application form and required documentation have been submitted, your application and application fee have been received.
- Academic institutions shall issue official transcripts directly to the College
- NWPTA or RSB applicants, documents will be supplied by your current regulatory bodies’ registrar (if applicable)
- References are notified and will supply their references (if applicable)
What you need to do to progress from this stage:
- Nothing. Your application status will not progress until all required documents have been received by the College.
3. In Progress
Your transcripts have been received, reports and lead author declaration (if required) received, and references received. Your application has been marked as completed. Your academic and credential requirements will be reviewed by staff and/or assessors. There is no further action from you, the applicant, until your application is either approved or declined.
What you need to do to progress from this stage:
- Nothing. Your application status will not progress until it has been reviewed and either approved or declined.
4a. Approved
An email will notify you of your approved application. You must pay for and take the mandatory courses within the time allocated. An e-mail will be sent to you with instructions on how to take the ethics course.

- Pay for and complete the mandatory courses
4b. Declined
An email and letter will notify your application was declined. The letter will provide details as to why (i.e. the deficiency(ies)), potential resolutions and a timeline (usually 6 months) if you wish to be reassessed upon resolving any deficiency(ies). You may also wish to consult Part 5, Division 4, section 5-12 of the College bylaws regarding a Review on the Record.

5. Trained
You have successfully passed the mandatory courses. This progress is updated in the College’s portal automatically.
What you need to do to progress from this stage:
- Await notification from the College that your application is finished
6. Finished
Your application is finished, and registration fees are due. You will receive an email notification from the College.
What you need to do to progress from this stage:
- Pay your registration dues
7. Registered
You are registered by College staff and may use the title/designation you applied for (e.g. RPBio, RBTech, ABT, in Training). Your name is added to the College register and digital seals will available through your profile on the College’s portal. Certificates will be mailed to new practicing registrants.
